Seeing the "annual meeting" ties in with its use elsewhere makes sense.
Otherwise, as we may all know, if you call something the wrong thing, any
amount of good documentation or explanations can be defeated. In our
shallow world, what a thing is called can carry more weight. (Take a
librarian's job description and write "Librarian" at the top a and give it
to one person; give it to anouther with the words "Information Scientist"
and see which gets more respect. Else why would so many library schools
have added information science to their schools names?)
